How to Automate Data Entry in CrossLink Online | SmartWiz

Last updated: October 20, 2026

Turn documents and intake forms into completed data entry in CrossLink Online. Wizzy reads every client's source documents, builds the profile, and One-Click export enters it into CrossLink, where you review side by side and file.

Yes, data entry in CrossLink Online can be automated. Upload a client's documents into SmartWiz however you have them: one combined PDF or a stack of separate files (PDFs, photos, scans, Excel or CSV). SmartWiz also takes your intake forms and client organizers, plus data from your intake tools like Jotform, Cognito Forms and GoHighLevel. Wizzy reads the documents, builds the client profile, and One-Click export enters it into CrossLink Online, where you review side by side and file. Data entry, done.

How SmartWiz works

Wizzy reads every page, splits a combined PDF into individual documents while keeping the original together, and sorts and renames each one by taxpayer, document type, issuer and tax year. It reads source documents like W-2s, 1099s and K-1s, as well as Schedule C and Schedule E intake forms, and builds a client profile you review and edit before export. Before export, Wizzy flags things you may want to fix, like a W-2 address that differs from the driver's license, so you pick the right one. For returning clients whose info is carried forward, Wizzy never overwrites existing data. It only adds the new information. Then One-Click export enters it into CrossLink Online in about 3–5 minutes (tax years 2025 and 2024), where you review side by side and file.

The workflow

  1. Add a client's documents to SmartWiz. One combined PDF, a stack of files, or documents from your intake form (Jotform, Cognito Forms, GoHighLevel). Wizzy accepts PDFs, photos, scans, Excel and CSV.
  2. Wizzy reads and sorts the documents and builds the client's profile, about 3–5 minutes per client. Clients process in parallel.
  3. Review the profile. Fix anything Wizzy flagged, and edit anything that needs it. Everything Wizzy read is visible, so you see where each figure came from.
  4. In Chrome, open the client's return in CrossLink Online and run One-Click export from the SmartWiz Chrome extension. For a new client, Wizzy can create the client in CrossLink Online. Entry takes about 3–5 minutes, and you review side by side.
  5. Finish and file the return yourself. Data entry is done. You finish the review, make whatever adjustments the return needs, and file in CrossLink Online.

FAQ

How does SmartWiz automate CrossLink Online entry?

Upload a client's documents. Wizzy reads them, builds a profile you review, and One-Click export fills the return in CrossLink Online. You review side by side and file.

What documents can SmartWiz read?

W-2s, 1099s of every type, K-1s, brokerage statements (1099-B import), mortgage interest (1098), tuition (1098-T and 1098-E), health savings (1099-SA and 5498-SA), retirement distributions (1099-R and 5498), and more. It also reads Schedule C and Schedule E intake forms, plus direct deposit details and identity documents. One combined PDF or separate files both work.

Does it handle images and scanned documents?

Yes. PDFs, photos, scans, Excel and CSV all work. Wizzy reads the text no matter the format.

What if my client sends a combined PDF?

Wizzy splits it into individual documents and keeps the original together, so you have both the separated files and the full PDF the client sent.

How long does it take?

About 3–5 minutes per client to read and build the profile, and another 3–5 minutes for One-Click export into CrossLink Online. Multiple clients process in parallel.

Do I need to install anything?

One Chrome extension for One-Click export. SmartWiz runs in the browser.

What about returning clients whose info is already in CrossLink Online?

Wizzy handles carryforward. It never overwrites existing data, only adds what is new. The side-by-side review shows what changed.

Does SmartWiz file the return?

No. Wizzy does the data entry. You review, finish and file the return in CrossLink Online yourself.
